Announcement on the Standardized Use of Seals of Offices in China


This announcement is hereby issued to standardize the use of official seals of The Asia Pacific School of Business's offices in China, ensuring legal compliance and institutional integrity. Formulated in accordance with the resolutions of the Board of Trustees, the Board of Supervisors, and the University Affairs Committee, and approved through formal deliberation, this regulation comes into effect immediately.

I. Scope of Seal Usage

  1. General Office Seals

Seals of all offices in China shall be exclusively utilized for the signing of contracts and cooperation agreements. Any other usage scenarios, including but not limited to internal memorandums, financial approvals, or public announcements, shall be deemed invalid. Unauthorized use may result in legal consequences and disciplinary actions.

2.      Seal of the Education Team of The Asia Pacific School of Business in China

  • Custodian: The seal shall be under      the exclusive custody of the Team Director.
  • Authorized Usage: It is solely      intended for co-signing official correspondence among various offices. This function serves to authenticate inter-departmental communications, ensuring traceability and accountabiliy.Any external applications, commercial transactions, or personal endorsements using this seal are strictly prohibited and will be null and void.

3.      Seal of the International Academic Affairs Office of The Asia Pacific School of Business

  • Custodian: Entrusted to the Director of External Affairs of the Education Team of The Asia Pacific School of Business in China.
  • Authorized Usage: Exclusively used for executing strategic inter-university cooperation agreements and contracts on behalf of the Board of Trustees, the Board of Supervisors, and the University Affairs Committee. This includes, but is not limited to, international exchanges, academic visits, and joint cultivation programs. Any other applications, such as private transactions, non-academic collaborations, or administrative approvals, shall be invalidated.

II. Legal and Administrative Accountability

  1. Seal custodians are obligated to maintain strict records of seal usage, including date, document title, authorized signatory, and purpose. These records shall be archived for a minimum of five years and subject to regular audits by the University's Compliance Department.

2.      In case of seal loss, damage, or unauthorized use, the custodian must report to the University Affairs Committee immediately. Temporary seal suspension and emergency replacement procedures shall be initiated in accordance with institutional protocols.

III. Effective Date

This regulation supersedes all previous seal usage guidelines and shall be effective from July, 03 2025. For inquiries regarding seal usage, please contact the University Secretariat at info@apsb.edu.eu.
